When your access changes
What happens to your copy of a shared project when your role changes, you're removed or added back, sharing stops, or your session on the server ends.

Your copy of a shared project always stays on your computer. Whatever happens to your access, you keep the files and the work you did in them.
You’re made a viewer
Section titled “You’re made a viewer”When the owner changes your role to Viewer, the editor turns read-only at once. A notice above the editor says who made you a viewer: “You can read this project but not edit it.” Activity notes your new role.
Everything you typed before the change was already shared. You can still read, compile and export. If the owner makes you an editor again, the notice goes away and you can type as before.
You’re removed from a project
Section titled “You’re removed from a project”When the owner removes you, a notice says who removed you, and that your copy stays on this computer and is no longer shared. The project in your library gets a new name, “project (local copy)”, so you can tell it apart from the shared one. It’s now an ordinary project. You can keep working in it, but your changes don’t reach anyone.
You’re added back
Section titled “You’re added back”If the owner adds you again, the project shows up under Shared with you. Open it to get a fresh copy of the shared project. Your local copy stays as it is.
If you changed the local copy while you were out, Oleafly notices when you open the shared project again. If you can edit, it names the files you changed and offers two choices:
- Bring changes in merges your changes from the local copy into the shared project, where everyone gets them. Text merges with what others wrote in the meantime. A figure you changed is added beside the shared one, so neither version is lost.
- Keep separate leaves the local copy as its own project and doesn’t ask again.
Sharing stops
Section titled “Sharing stops”When the owner selects Stop sharing, or a server admin archives the project, Activity tells you and the sync status shows Sharing stopped. Your copy stays on this computer as an ordinary project.
You leave a project
Section titled “You leave a project”When you choose Leave project, your copy stops syncing and stays on this computer as an ordinary project. If the project has link sharing on, you can rejoin through its link.
Your session on the server ends
Section titled “Your session on the server ends”Sometimes your access to the whole server changes. Each case shows in the sync status, in Activity and on the server’s card in Settings → Collaboration:
| Status | What happened | What to do |
|---|---|---|
| Signed out | This computer was signed out of the server, for example from another device. The project stops syncing, and your changes stay on this computer. | Select Sign in. Waiting changes go out once you’re back. |
| Account paused | An admin paused your account. Your changes stay on this computer. | Sign in again once the admin turns your account back on. |
| No access | You no longer have access to the server. Your copies stay on this computer as ordinary projects. | If an admin adds you back, sign in again. |
A guest whose last shared project is gone, because they were removed or left, also loses access to the server. Their copies stay on their computer. A new invitation brings the same account back.
